HAWKING project online meeting: Virtual collaboration and quality assurance




Representatives of all partner institutions from the HAWKING project attended the online meeting organized by the University of Montenegro (UoM) and the University of Maribor (UM) on May 23, 2024, thus confirming their commitment to reducing digital inaccessibility for new generations. The objectives of the meeting were to review progress, present the new structure of the virtual office for project management and implement the quality assurance process. 

The University of Maribor (UM), as the leader of Work Package 1 (WP1), presented the progress achieved to date in the virtual valorisation of the previous projects. The aim was to identify what has been achieved so far, as well as the remaining tasks, in order to ensure meaningful and complementary outcomes of the HAWKING project. So far, nine institutions have submitted their analyses, while the analyses of the remaining four institutions are expected by May 29, 2024, when the next meeting is scheduled. 

The University of Montenegro (UoM) presented the new virtual office structure for project management on Google Drive. Partners were asked to review the new structure and organize their folders according to the examples provided. UoM is also developing the templates for efficient project implementation, including attendance lists, meeting minutes and event agendas. Partners should place the logos of their institutions in a specific folder, after which the UoM will create a project memorandum. 

The Western Balkans Institute (WEBIN) presented the Quality Management Plan and relevant templates, which were uploaded to the virtual office. The suggested time frame for quality evaluation is three weeks long: one week for review and comments, one week for integration of comments, and the last week for final evaluation. Partners should also complete communication and dissemination activity matrices, as well as to review and, if necessary, propose new deadlines for project deliverables.

The following conclusions were reached at the meeting:

1. UM: Complete the analysis of received submissions and contact the remaining institutions by May 29.

2. All partners: Review the new virtual office structure, place logos and prepare deliverables according to the quality assurance plan.

3. UDAS: Design a template for project presentations for communication and dissemination purposes.

4. UoM: Finalize and distribute templates for meetings and reporting, and discuss future activities at the upcoming meeting in Sarajevo, on 4-5 June 2024.

The HAWKING project continues with its work and commitment to reduce the digital inaccessibility, with the active participation and coordination of all partner institutions.
